This policy explains what personal information the chapter holds about its members, why it holds it, and who it is shared with. It covers the chapter's dues administration and the reminder messages sent as part of it.
Who we are
Phi Delta Theta – Massachusetts Epsilon is the Northeastern University chapter of the Phi Delta Theta Fraternity. Questions about this policy, or about information we hold about you, go to treasurer@nuphidelts.org.
What we collect
For each member of the chapter we hold:
- Name and bond number — the fraternity membership number that identifies you across chapter records
- Mobile phone number — used to send dues reminders by SMS, if you have consented to receive them
- Email address — used to send dues reminders by email
- Membership status and class year — active, early alumnus, or temporary leave, which determine the dues owed
- Dues and payment records — the amount owed, any payment plan agreed, and the date and amount of each payment received
We collect this information directly from you, from the chapter roster, and from the opt-in form linked below.
We do not collect payment card details, bank account numbers, or any financial credentials. Payments are made through Zelle or Venmo directly between you and the chapter treasurer; we record only that a payment arrived, when, and for how much.
How we use it
Solely to administer chapter membership and dues:
- calculating what each member owes
- sending reminders about upcoming, due, and overdue payments
- recording payments received and maintaining the chapter's financial records
- contacting members about their dues account
We do not use this information for advertising or marketing of any kind, and we do not send promotional messages.
Who it is shared with
We do not sell, rent, or share personal information — including mobile numbers and SMS consent — with any third party or affiliate for their own marketing or promotional purposes.
We use service providers who process information solely on our instructions to deliver our own messages and store our own records. They are not permitted to use it for any purpose of their own:
- Brevo — delivers our dues reminder emails
- Twilio — delivers our dues reminder text messages
- Google— stores the chapter's financial records
No other party receives this information. We do not share it with the national fraternity, the university, or any other organisation except where we are required to by law.
Text messages
If you have opted in to receive text messages, we send dues reminders to the mobile number you gave us.
- Message frequency varies with your payment plan and is at most one message per day.
- Message and data rates may apply.
- Reply STOP to any message to stop receiving them. Reply HELP for help, or email treasurer@nuphidelts.org.
- Consent to receive text messages is not a condition of membership, of any payment, or of any service from the chapter. Members who do not opt in still receive dues notices by email and are not disadvantaged in any way.

How long we keep it
Dues and payment records are kept for the chapter's financial history. Contact details are kept while you are a member of the chapter and removed on request.
Your choices
You can, at any time:
- stop text messages — reply STOP, or email us
- correct your contact details — email us
- ask what we hold about you, or ask us to delete your contact details — email us

Changes
If this policy changes we will update the date at the top of this page.
